How to keep client context separate when your agency uses AI
Organise AI work across multiple clients with clear access boundaries, separate source collections and checks before external delivery.
An agency can reuse its expertise across clients without reusing their private information. AI makes that distinction easy to blur when teams collect examples, briefs and past deliverables in one place.
Treat the client boundary as part of the workflow from the start. A prompt asking an assistant to “ignore the other client” is not an access control.
Separate reusable methods from client facts
Create a shared collection for agency methods: research checklists, review standards and templates that contain no confidential client details. Keep each client's briefs, commercial information, research and deliverables in a separately permissioned collection.
Before promoting an example into the shared collection, review whether it contains identifying details or information the client has not authorised you to reuse. Removing a name alone may not remove the sensitive context.
Bind the task to the right client
At task start, specify the client, engagement, approved sources and destination for the output. Use tooling that enforces those source permissions outside the model's instructions.
When a person works across clients, do not assume a new chat removes information stored in a shared project, connector or memory feature. Check the actual configuration of the tools your agency uses and document the approved workflow.
Review outputs for boundary mistakes
A delivery checklist should include client names, examples, metrics, links and strategic claims. A polished paragraph can still contain a detail borrowed from another account.
Ask the assistant to cite the source of factual claims during internal review. If a claim has no permitted source, remove it or verify it with the engagement owner. Never send a client's private source links to another client as evidence.
Test the boundary deliberately
Use harmless test records to check that a task for one client cannot retrieve another client's material. Repeat the check when access groups, connectors or team assignments change.
The goal is a workflow where expertise travels freely and client information travels only within its authorised scope. That separation makes reuse easier to trust as the agency's AI work grows.
