Turn support feedback into product evidence without losing the detail

Create a useful path from customer support conversations to product decisions while preserving scope, evidence and uncertainty.

A support team hears “customers want better reporting.” A product team receives the same sentence and still cannot tell what to build.

The useful information is usually underneath the summary: who was trying to do what, where they got stuck and what workaround they attempted. An AI assistant can help organise that evidence, but the workflow needs to preserve it.

Capture the task behind the request

For each useful piece of feedback, record the customer task, the obstacle, the product area and a reference to the original conversation. Include account context only when it is relevant and permitted for the receiving team.

Distinguish the customer's requested solution from the observed problem. “Add a spreadsheet export” may be one proposed answer to “I need to share a weekly result with someone who does not use this product.” Those are related but different inputs to product work.

Group without flattening

Ask the assistant to cluster similar problems, then retain the individual examples under each theme. Three mentions from one long conversation should not become three independent customers in a summary.

Label the evidence honestly. A handful of conversations can reveal an important problem, but it does not establish how common the problem is across the customer base. Preserve contradictory examples instead of hiding them in an average description.

Add a decision checkpoint

For each theme, the product owner should record one next step: investigate, address, defer or decline. Add a reason and a date for revisiting a deferred issue if there is a specific trigger.

Do not let an AI-generated theme become a roadmap promise. Keep the synthesis separate from the approved decision and the customer communication.

Close the loop with support

Return a short explanation to the support team: what was learned, what was decided and what they can accurately tell customers. Include the approved wording for anything that sounds like a commitment.

The workflow is complete when the next support conversation benefits from the earlier evidence. A growing collection of summaries with no decision or response path is another inbox to maintain.
